A useful document list is more precise than “full certification.” It tells the supplier what must be reviewed before manufacturing, what evidence accompanies inspection and what belongs in the final release package.
For approval
- Product drawing with revision
- Datasheet and bill-of-material scope
- Applicable design and dimensional standards
- Inspection and test plan where required
For material traceability
- Parts requiring material records
- Required certificate type or content
- Heat or lot relationship to product marking
- Special PMI or hardness scope if specified
For inspection and testing
- Shell, seat, closure or functional test
- Acceptance criteria and test medium
- Witness, hold or document-review points
- Report format and calibration references
For final release
- Final approved drawing and datasheet
- Agreed material and test records
- Marking, nameplate and packing evidence
- Indexed package with order references
Write exceptions into the quotation.
If a requested document, witness point or test is not available for the selected product, resolve it before the purchase order—not after the valve is ready to ship.
